Learn how to send AI phone screenings and review results in Teamtailor

Introduction

The integration between Outhire and Teamtailor allows you to:

  • Automatically send AI phone screening invitations to candidates at specific stages
  • View screening results directly within candidate profiles
  • Automatically move candidates between stages based on their screening scores
  • Customize interview questions and scoring criteria for each role
  • Configure interview length and assessment parameters

How to Enable the Integration

To activate the Outhire integration, you must have company admin privileges in Teamtailor and an active Outhire account.

Step 1: Connect Outhire to Teamtailor

  1. Log in to your Outhire dashboard
  2. Navigate to Settings > Integrations
  3. Find Teamtailor in the integration list and click Connect
  4. Enter your Teamtailor API Key credentials
  5. Click Authorize to complete the connection

Step 2: Import Jobs from Teamtailor

  1. In the Outhire dashboard, go to the Jobs page
  2. Click Import from ATS button in the top right
  3. A dialog will appear showing your available jobs from Teamtailor
  4. Select the jobs you want to enable for AI phone screening by checking the boxes
  5. Click Import to add the selected jobs to Outhire

Step 3: Configure AI Voice Interview

For each imported job:

  1. Click on the job title in your Outhire Jobs list
  2. Click Configure AI Screening button
  3. In the "Configure AI Voice Interview" dialog:
    • Toggle AI Phone Interview to Active
    • Set Maximum Interview Length (default: 5 minutes)
    • Add your Interview Questions or click Auto-Generate to create role-specific questions
    • Define corresponding Scoring Criteria for each question

You can:

  • Click Start Test Interview to preview the candidate experience
  • Click Save Configuration to save your settings

Step 4: Set Up Triggers in Teamtailor

  1. Go to your job in Teamtailor
  2. Navigate to the Applications view
  3. Click on the stage where you want to add the phone screening (e.g., "Phone Screen")
  4. Click Add trigger button
  5. From the dropdown menu, select Send Outhire phone screen

The trigger configuration will display:

  • Your configured interview questions
  • Option to Move candidate when complete
  • Score threshold slider (0-100) with Above/Equal to/Below options
  • Target stage selection for automatic movement

Configure automatic stage movement (optional):

  1. Toggle on Move candidate when complete
  2. Select the destination stage (e.g., "HM Interview")
  3. Set the score threshold using the slider
  4. Choose whether to move candidates Above, Equal to, or Below the threshold
  5. Click Update trigger to save

Tip: We recommend placing the AI phone screening early in your recruitment process, such as after the initial application stage, to efficiently identify qualified candidates.

Details Regarding the Integration

Data Transfer from Teamtailor to Outhire:

  • Candidate name
  • Candidate email
  • Candidate phone number
  • Job title and ID
  • Application ID
  • Stage information
  • Job status (Published/Draft)
  • Location data

Data Transfer from Outhire to Teamtailor:

  • Overall screening score (0-100)
  • Individual question responses
  • Assessment completion status
  • Interview duration
  • Detailed scoring against criteria
  • AI-generated insights

Candidate Experience

When moved to the trigger stage, candidates receive an email and/or SMS invitation. Candidates can complete the AI voice interview at their convenience. The interview typically takes 5-15 minutes (based on configuration). Candidates answer questions verbally through their phone or computer. They receive a confirmation upon completion.

Reviewing Results

When a candidate completes the phone screening:

  1. Open the candidate's profile in Teamtailor
  2. Navigate to the Outhire section
  3. View the overall score percentage
  4. Click Screening Report to access:
    • Complete interview transcript
    • Question-by-question analysis
    • Scoring against each criterion
    • AI-generated insights and recommendations
    • Interview recording (if enabled)
